Calculation settings

Rounding applies once to daily totals by default, or once to the overall total when selected. Both overtime mode uses the higher estimate; it does not add the two. This is arithmetic, not state-law compliance, taxes or payroll advice. Method & limitations.

Decimal hours are the column to use in your payroll sheet.

Use this timesheet hours calculator when your main task is checking the hours on a completed sheet. Rebuild the daily entries and compare the sum with the summary you were given.

Rebuild the summary from its daily entries

A weekly total can look plausible even when one day was copied incorrectly. Enter the original start, finish and break values rather than typing a summary number back into another calculation. Keep each daily line recognizable so that you can compare it with the source. A seven-day view helps expose a missing weekend period or an accidental entry on a day off. You do not need to complete every row: blank days contribute no hours, and a period with only one time remains flagged until you finish it.

Find the source of a mismatch

If your result differs from a supplied total, work through the days before changing rounding or overtime settings. Check whether an afternoon time was read as AM, a lunch was subtracted twice, a split shift was omitted or a missing clock-out was guessed. Compare the hours-and-minutes value first, since that preserves the original minute-based record. A difference of exactly half an hour often points to a break setting, but it is not proof; inspect the actual entries. Correct a record only after confirming what the value should be.

Keep decimal conversion separate from time entry

A source may write 7:30 in one place and 7.5 in another. Those can represent the same duration, but 7.30 as a decimal represents seven hours eighteen minutes instead. Enter clock times in the input fields, then let the calculator produce decimal hours for the total. Do not enter an already calculated decimal duration as a clock-out time. Twenty minutes becomes about 0.33 hours when displayed, while the internal calculation still keeps the full 20 minutes. The table gives useful reference points for a manual reconciliation.

Match the break treatment used in the source

The first period of a day defaults to a 30-minute unpaid break. Change or remove it when checking a sheet with another arrangement. Paid breaks stay within the recorded span, and multiple rest entries let you separate paid and unpaid time. If your source has morning and afternoon periods with lunch between them, that gap is already excluded. Additional periods begin without a second default deduction. Compare the source’s net hours with the calculator’s net hours rather than comparing a net total with a gross elapsed span.

Apply one consistent reporting convention

Leave rounding off for exact reconciliation, or select the interval and direction used for the report. Rounding happens on daily totals by default, with overall-total rounding available as a separate choice; individual punch rounding is not supported. The default overtime calculation uses hours above 40 per fixed workweek and treats two weeks independently. Daily and combined modes are simplified estimates. This tool provides arithmetic rather than legal, tax or compliance judgments, so confirm which rules apply before using a difference as evidence of an incorrect payment.

Retain a readable comparison record

Copy summary gives rows you can paste alongside a source sheet. Download CSV preserves period times, break classifications, decimal hours and totals, which makes a line-by-line comparison easier. Print a report if you need a paper reference for a discussion. Entries are stored locally in this browser, not uploaded to a shared account. A full-card link can transfer the calculation deliberately, but anyone who receives it can read the records. For worksheet formulas, see the timesheet calculator Excel guide. Keep source documents separately: this reconstructed summary does not replace an approved or signed record.

Frequently asked questions

Can I check a total from an existing sheet?

Yes. Re-enter the daily clock times and break treatment, then compare the resulting day totals and weekly sum with the source. Check the minute format before comparing rounded decimals. The tool does not import a photograph or interpret handwritten entries, so confirm unclear records before completing the calculation.

Why is 7:30 different from decimal 7.30?

The colon separates hours and minutes, so 7:30 is seven hours thirty minutes, equivalent to 7.5 decimal hours. Decimal 7.30 is seven hours plus 0.30 of an hour, or eighteen minutes. Use clock times for inputs and the calculator’s decimal result when a spreadsheet asks for numeric hours.

Should I change rounding until my total matches?

No. First compare the original daily entries, breaks, AM/PM interpretation and missing periods. Enable rounding only when it reflects the reporting method you are checking. Choosing a different interval merely to force agreement can hide an input error and make the result inconsistent with the original record.

What happens if I have not clocked out yet?

An unfinished period is marked incomplete and excluded from the total until both times are valid. Leave the clock-out blank while you confirm the actual ending time. The calculator does not run an attendance timer or guess when you stopped working. Other completed periods continue to count normally.

Can I download the result for a spreadsheet?

Yes. Download CSV gives you individual periods, decimal hours, hours and minutes, and totals. The decimal-hours column contains numbers suitable for spreadsheet calculations. Copy summary produces tab-separated rows for pasting, while Print gives a readable report. Check your times and breaks before using any exported figures for payroll.

Do I need an account, and where are my entries saved?

You do not need an account. Calculations run in your browser, and entries are saved locally on this device rather than uploaded. A full-card sharing link contains the records in its fragment; anyone holding it can read them. Export your own backup before clearing browser storage or switching devices.
